Resumo: Nesta pesquisa realizou-se uma investigação referente ao processo de desenvolvimento de sistemas informatizados de gestão arquivística de documentos de instituições de ensino superior, observando-se especificamente a função de descrição arquivística, o uso das normas de descrição arquivística e o uso de requisitos do e-Arq Brasil como eixo central da pesquisa em interação com a área de recuperação da informação. Optou-se, como estudo de caso, pelos sistemas informatizados adotados em duas (02) instituições de ensino superior, a Universidade Estadual de Londrina (UEL) e a Universidade Estadual Paulista "Júlio de Mesquita Filho" (UNESP). Como todas possuem seu próprio software, desenvolvido para o atendimento das demandas diárias de trabalho relacionadas às suas atividades fim e meio, escolhe-se uma funcionalidade de cadastro e acompanhamento de disciplina no sistema, observando-se a visão do seu utilizador. Como recursos metodológicos, adotam-se pesquisa bibliográfica e documental, natureza exploratória, descritiva e explicativa, com abordagem qualitativa, realizando-se assim um estudo de caso buscando as evidências da documentação, da observação direta e da observação participante, e seguindo um roteiro pré-definido. Abstract: This research carried out an investigation regarding the process of development of computerized archival management systems for documents of higher education institutions, specifically observing the function of archival description, the use of the archival description standards and the use of requirements of the e -Arq Brazil as the central axis of the research in interaction with the information retrieval area. The computerized systems adopted in two (02) higher education institutions, the State University of Londrina (UEL) and the Universidade Estadual Paulista "Júlio de Mesquita Filho" (UNESP), were chosen as a case study. Since both of them have their own software, developed to meet the daily demands of work related to their core and non-core activities, a registration and monitoring of discipline in the system is chosen, observing the view of its user. As a methodological resource, it is adopted a bibliographic and documentary research, of an exploratory, descriptive and explanatory nature, with a qualitative approach, thus conducting a case study seeking evidence of documentation, direct observation and participant observation, following a pre-defined script. Abstract:
This paper examines the results of a usability study for finding aids from the Special Collections Research Center at North Carolina State University. In 2005, the Special Collections Research Center reformatted its finding aids so that the container information, typically located on the left-hand side of the document, moved to the right-hand side of the document. The study tested the effectiveness of this change, and determined that traditional finding aids performed better. The analysis of the study’s results is followed by a discussion about Web usability guidelines for online finding aids.

Abstract:

Our collective memory, the history that is cultivated through reflection, documentation, and consensus of historical data, is predicated upon the citizenry having access to the historical materials that society has created. Digitization has enabled greater public access to those materials. However, are items being scanned or digitally photographed to create surrogates that are then not made available to the world? The impetus for this study is to delve into whether or not intentional or unintentional personal choices play a role in determining which items archivists transform into digital surrogates; both in the decision of what to digitize and what to make available to the public on the World Wide Web. When one archival collection is prioritized over another or when it is not possible to digitize an entire collection, what rationale is used to determine which items will be digitized and published online? Do intentional or unintentional personal choices come into play in the decision-making? To answer these questions, four case studies were conducted, involving the random sampling of online collections and concomitant interviews of archivists. The purpose of this study is to enhance archivists’ understanding of the reasons that guide the digitization decision-making process. Through such understanding, archivists can be more proactive in the decision-making process to realize the benefit of digitizing and publishing archival materials that ultimately affect collective memory. The findings of this research revealed that in the case of the four institutions assessed, archivists do use personal choice to determine which materials within an archive are digitized.

Abstract:
This thesis is an inquiry into the nature of current provincial and territorial archival legislation in Canada. It provides an analysis of archival legislation as a form of written communication and argues that the legislation suffers from the same deficiencies inherent in other forms of communication as a result of external social influences on its meaning. Chapter one therefore traces the evolution of the legislation from 1790 to the present and shows how the meaning of current legislative texts emerged neither from objective legal considerations nor archival theory, but as an ad hoc response to a variety of social influences. The remaining chapters are based on a detailed content analysis of the three main components of current provincial and territorial archival legislation: provisions establishing definitions of key terms, provisions establishing the scope and authority of administrative structures for archival programmes and provisions establishing programme elements. They elaborate on the argument advanced in chapter one that the social production of meaning, arising from the manner in which current provincial and territorial archival legislation has developed, adversely affects its ability to promote the preservation of documents in two ways. First, this process of development has meant that wording in legislative texts carries overtones of outdated attitudes and assumptions about archives. Second, it has led to inconsistency, conflict, vagueness and ambiguity in the meaning of the texts. These chapters also put forth prescriptive ideas regarding how the adverse affects of social influences on the meaning of current provincial and territorial archival legislation might be overcome.

Abstract:
The claim of archivists to be a scholarly profession is dependent upon their ability to methodically study and understand the meaning of the records in their care. Without such contextual information about the record as the name of its creating agency, the reason for its creation, and the authority by which it was created, archivists and researchers are in a poor position to assess the value and validity of its informational content. Without knowledge of the relationship of the record to other record series, they are likely to overlook additional supporting and/or contradictory documentation and thereby miss a part of the truth they seek. This thesis is directly concerned with the means by which archival sources might be assessed to determine the value of the historical evidence they contain. It proposes a conceptual framework by which study of the original, primary, and secondary meanings of the archival record might be approached. Examples are drawn from close examination of the records of the Corporation of the City of Nanaimo surviving from the period 1875-1904. While acknowledging that extensive study of the significance of documentation might be impossible for archivists in their daily work, this thesis concludes that closer attention must be paid to sources documenting the contextual environment of the record. Such sources are essential to the furtherance of understanding which is the information profession's ultimate goal.

This thesis is about photographic archives. Specifically, it concerns the process of acquisition for family photograph albums as archival texts. It argues that the process of acquisition writes history, and not one sole author. Additionally it argues that the institutional policy of an archive governs this process. Further, it argues that there is a homology between a public and private archive. In this light, it pursues an autobiographical approach, and compares the author's family photograph album with a family photograph album in the McCord Museum of Canadian History.

Abstract:
With the onset of the information age, archivists are more frequently placed in professional situations where they must work with automated systems to manage the records in their custody. They must acquire new skills to use this technology, including system analysis, system planning, and the principles of computer operation. An area that is frequently neglected, however, is that of developing and maintaining in-house project documentation for systems once equipment is in place and implementation has begun. This oversight leads to poor training strategies, inconsistencies in input and output, and information loss when personnel changes occur. Project documentation is the group of records that describe the system the archivist creates. It is a communications tool, developed by the project manager as a reference document for administrative and operations purposes, and to train users. The documentation guidelines assembled in this text were developed by the author while implementing automated systems over a six-year period. They are arranged in five groups. SCOPE discusses ways to introduce the user to the project, the equipment, and to the concept of the project manual. SYSTEM ORIENTATION contains strategies for more detailed instruction on the equipment. INPUT shows how to describe the data base design and instruct the user on entering data. OUTPUT provides a format for profiling and generating reports. And OPERATIONS AND MAINTENANCE outlines the tools the project manager needs to maintain the system.

Resumo: A presente dissertação apresenta o estudo desenvolvido que teve por objetivo analisar a produção dos documentos fotográficos produzidos pela Assessoria de Comunicação e Imprensa da Universidade Estadual Paulista "Julio de Mesquita Filho" - Unesp, no período de 1985 a 2008, questionando a gênese documental desses documentos. De modo específico, fez-se a categorização das funções e competências da Assessoria, por meio de documentos normativos da Universidade; como o mapeamento da produção dos documentos fotográficos, mediante análise documental e entrevistas; Além da análise das funções e atividades da assessoria apresentada pelo Plano de Classificação da Atividades-meio da Universidade em relação a produção dos documentos fotográficos. Com o intuito de alcançar a meta proposta, optou-se pelo desenvolvimento do método de pesquisa estudo de caso, sendo conduzido pela busca da ampliação das discussões em torno dos documentos fotográficos na perspectiva orgânica institucional. Abstract: The current dissertation introduce the study developed with the purpose of analyze the photographic documents produced by the Communication and Press Office of the State University of São Paulo "Julio de Mesquita Filho" - Unesp, in the period of 1985 to 2008, questioning the documentary genesis of the documents. Specifically, the functions and competencies of the Press Office were categorized through normative documents of the University; Such as mapping the production of photographic documents, through documentary analysis and interviews; in addition to the analysis of the functions and activities of the Press Office presented by the Plan of Classification of the activities-middle of the University in relation to the production of the photographic documents. Abstract:
The object of this two years master's thesis has been to study a specific genre of personal archives by examiningthe archives of nine parents who have lost one or several infants. Using internet-based methods, (e-mail, Skypeand digital photographs), I have conducted qualitative research using a general interview guide technique. Usingresearch from archival theory as well as other fields, my material has been arranged and analysed according tothemes and recurring thoughts picked up from my informants during the interviews.My main theoretical aid has been that the role of parent who has lost a child is the starting point for the creationof the personal archives. Another important theory is my definition of the term “document” as not dependent onmedium and format, but on usage: if an object has been used as a part of an archive, it is a document. I also claimthat study of personal archives is a way to help the archival profession and Swedish archival theory to becomemore democratic and inclusive, since especially the former is mandated to reflect all of society's many manifestationsof culture and memory. The results show that the archives contain a large selection of documents in differentformats and mediums, but that they also have many similarities. This is an effect of the fact that the parentshave all had roughly the same document-creating contacts with their relatives and friends, the authorities and theother parts of society often involved in the events proceeding the child's birth and death (or sickness and death).The reasons to create and maintain a personal archive are to preserve the memories of events, people, places,thoughts and feelings associated with the child and whatever time the parents got to spend with him or her. By remembering,the parents are also confirming the child's existence and place within the family, and helping themselvesconfirm their newly acquired role as parents who have lost a child. The archives and their constituent partsare used as physical and psychological “linking objects”, to help the parents feel (at least temporary) closer totheir child by watching, touching or talking about the most important documents. These are often the ones displayedon special memory shelves, on family photo walls or in memory boxes. It follows that arrangement of thedocuments is based mostly on the emotional attachment of the parent to the individual document, and that destructionof records are extremely rare in the studied archives. Their growth diminished with time, but does notstop completely since the parents, other relatives and friends still create new documents, mostly to observe holidaysand anniversaries. Furthermore, the way the parents use their archives and its constituent parts change astime passes. Individual documents may also change their emotional and cultural significance to the parent, orgain additional ones. Some of the underlying factors behind these findings are my informants views on creating,keeping and destroying documents. They all express a need to “save everything”, and most also want to “documenteverything”. The latter, their wish to create new documents to complement the ones created primarily byothers and as a result of specific events and processes, comes from a feeling of not having enough documents inthe archives. It can also be the result of dissatisfaction with those that do exist. Finally, as is commonplace amongpersonal archives, the archives in my study have multiple record creators within the immediate family and outsideit, even though my informants are usually the main creators. Nesse sentido, fundamentamos o problema desta pesquisa no fato de que as universidades, por tratarem de ambientes complexos, produzem uma grande quantidade de documentos, o que resulta em um constante fluxo documental. Dessa maneira, o estabelecimento de normas visa orientar os procedimentos arquivísticos no intuito de trazer confiabilidade e efetividade nas atividades inerentes ao arquivo da instituição. Nesse sentido, as instruções normativas referentes à gestão de documentos e o Arquivo Universitário são o foco desta investigação. Apresentamos uma discussão em relação à aplicação de normativas relativas à produção e tramitação de documentos no âmbito do Sistema de Arquivos da Universidade Estadual de Campinas (SIARQ/UNICAMP). O objetivo geral deste estudo é discutir e analisar a aplicação das normativas que tratam da produção e tramitação de documentos no SIARQ/UNICAMP. Abstract: The archival standards back up the records management in a university, once they settle procedures which standardize documents' production and processing; thus, they are such a tool within an institution, mainly regarding a records/archives system. This way, we establish this study's problem towards the fact that in universities such an amount of documents come out, once they are complex environments, bringing about constant flow of documents. For such reason, standardizing aims at guiding archival procedures for bringing liability and effectiveness upon the institution's records activities. In this sense, the instructions regarding the records management and the University Records are what we are mostly focused on this investigation. We present a discussion about the rules concerning the production and processing of documents in Campinas State University Records/Archives System (SIARQ/UNICAMP). The general objective of this study is fairly discussing and analyzing the rules about the production and processing of documents at SIARQ/UNICAMP. The research is qualitative and we have used the descriptive case study, aiming at specifically analyzing the archival standards application referring to the production and processing of documents within a university context, standing out the importance and influence os such rules in an archival institution. We now conclude that the institution makes out the standardization establishment importance, once it does approach the production and processing of documents throughout the university. Such position backs up the effort for its settling through the environments which constitute the institution. It has been possible to demonstrate such rules happen-making will depend on the organization's culture. As it is a records/archives system, such factor may vary.

Abstract:
This dissertation presents a new metadata design, as part of a large digitization management system being developed, to assist in the consistent creation of digital libraries of phonograph records. The Metadata provides digital libraries with an effective tool for the description, discovery, management, control, delivery, and sharing of digital objects of phonograph record. The metadata design is the outcome of two pilot projects for the digitization of phonograph records that took place at the Marvin Duchow Music Library at McGill University. The new design offers an approach to maintaining and using digital sound and ensures the long-term viability of digital libraries of phonograph records.
The dissertation discusses key areas of preservation and addresses the most common retrieval problems of music in digital libraries. These problems include challenges in the digital context of bibliographic control, cataloging, distribution, and copyright protection. The dissertation revisits traditional cataloging approaches, summarizes historical music cataloging and metadata development, sets up preservation principles and rationales for digitizing phonograph records, and presents state-of-the-art techniques for preserving phonograph records in the digital domain.
The dissertation contains three main parts. The first is an introduction to the new metadata design for phonograph records. The second is a metadata dictionary, which assigns precise syntactic and semantic meanings to metadata elements, to guide digitizers working in libraries, archives, museums, and heritage sectors. These will be followed by two case studies of phonograph record digitization projects using the Metadata and the Data Dictionary. The dissertation concludes by examining three challenges that are critical to future development in both the preserving of and access to phonograph records: the issue of interoperability between different metadata standards, the need for usability and quality evaluation of digitization management systems, and the importance of further development in digital library retrieval services and tools.

The archival standards back up the records management in a university, once they settle procedures which standardize documents’ production and processing; thus, they are such a tool within an institution, mainly regarding a records/archives system. This way, we establish this study’s problem towards the fact that in universities such an amount of documents come out, once they are complex environments, bringing about constant flow of documents. For such reason, standardizing aims at guiding archival procedures for bringing liability and effectiveness upon the institution’s records activities. In this sense, the instructions regarding the records management and the University Records are what we are mostly focused on this investigation. We present a discussion about the rules concerning the production and processing of documents in Campinas State University Records/Archives System (SIARQ/UNICAMP). The general objective of this study is fairly discussing and analyzing the rules about the production and processing of documents at SIARQ/UNICAMP. The research is qualitative and we have used the descriptive case study, aiming at specifically analyzing the archival standards application referring to the production and processing of documents within a university context, standing out the importance and influence os such rules in an archival institution. We now conclude that the institution makes out the standardization establishment importance, once it does approach the production and processing of documents throughout the university. Such position backs up the effort for its settling through the environments which constitute the institution. It has been possible to demonstrate such rules happen-making will depend on the organization’s culture. As it is a records/archives system, such factor may vary.

Resumo: Esta tese trata da metodologia brasileira e internacional disponível para a elaboração de catálogos temáticos de obras e fontes musicais de compositores atuantes no Brasil. A partir da experiência de catalogação das obras e arranjos do músico alemão – declarado cidadão brasileiro e atuante em Blumenau (SC) durante mais de cinco décadas – Heinz Geyer (1897-1982), estabeleceu-se uma discussão sobre os parâmetros metodológicos envolvidos na produção deste instrumento de pesquisa. Constatou-se que, até então, não existia um levantamento científico de sua produção composicional e os escassos modelos existentes no Brasil pouco sustentavam a fundamentação de trabalhos dessa natureza. O objetivo geral foi contribuir para o desenvolvimento de metodologias para elaboração de catálogos temáticos, adequadas aos acervos musicais brasileiros. No âmbito do trabalho foi possível disponibilizar o catálogo de Geyer, localizar e conhecer o estado das fontes de suas obras e arranjos – na maior parte, ainda preservadas em manuscritos – e inserir o compositor no campo científico, possibilitando sua eventual reintegração à vida musical de Blumenau. Abstract: This thesis focuses on the Brazilian and international methodology available for the elaboration of thematic catalogs of works and musical sources from composers who have acted in Brazil. From the experience of cataloging the works and arrangements from the German musician - declared Brazilian citizen and active in Blumenau (Santa Catarina state) for more than five decades - Heinz Geyer (1897-1982), a discussion about the methodological parameters involved in the production of this research instrument was proposed. It was found that, until then, there was no scientific survey of his compositional production and the scarce models in Brazil hardly supported the foundation of works of this nature. The general objective was to contribute to the development of methodologies for the elaboration of thematic catalogs, appropriate to the Brazilian’s musical archives. Within the scope of the work, it was possible to make Geyer's catalog available as well as to locate and get to know the state of the sources of his works and arrangements - mostly still preserved in manuscripts - and insert the composer in the scientific field, enabling his potential reintegration into the musical life of Blumenau. The subject of this master's thesis is how digitisation changes the understanding of textual archival matter. Drawing on document theory and media theory, the concept of digitisation is analysed as remediation, the repro - duction of one medium in another. A key theoretical assumption is that digitisation is not a neutral process, and conceptualising digitisation as remediation is a way of analysing the changed charasteristics of archival matter when represented in another medium. A tentative model for analysing remediated archival matter is presented, identifying three aspects or dimensions as crucial in understanding how remediation affects the interpretation of archival matter: the document dimension, the media dimension and the institutional dimension. The source material for this thesis are four instances of digitised archival material, each conceptualised and analysed as a case study. The four case studies are: a digitised archival volume from the archives of Swedish art museum Moderna Museet; the digitised typewritten manuscript of the poem ”De sju dödssynderna” (”The seven deadly sins”) by Swedish author and poet Karin Boye, available on the cultural heritage portal Alvin; a digitised handwritten notebook forming part of the manuscript for the novel To the Lighthouse by English author Virginia Woolf, available on the website Woolf Online; the digitised verdict from Swedish court of justice Kammarrätten (Administrative Court of Appeal) regarding the age rating for the film The Twilight Saga: Breaking Dawn – Part One. It is argued that the digitised archival material in each case study has the character of a digital facsimile, whose charasteristics are dependent upon choices made in its production as well as mode of presentation. It is further argued that the characteristics of each digital facsimile shape and mediate the understanding of the archi - val matter, and that some kinds of information, e. g. textual information, are more easily represented than others, e. g. material information. In the light of these results, the changing role of the archive and the possibilities of different kinds of rese - arch are discussed. The original value of this master's thesis lies in its further development of the concept of re - mediation as a concept in archival science as well as deepening the understanding of the interpretative fra - meworks surrounding digitised archival matter. This study examines the preservation practices of academic law libraries and argues that the survey results illustrate the growing gap between current preservation practices and new technology. The introduction to the study discusses challenges for libraries and cultural institutions in the digital age. In the second section, the paper analyzes U.S. copyright law and the effect of recent amendments on library preservation activities. The third section reports the results of a preservation practices survey. In the fourth section, the paper explores options for future law library preservation including institutional repositories and collaborative preservation efforts. The paper concludes that a new approach to scholarship and preservation is necessary to ensure that future generations have access to historically important legal literature.

The Swedish geographer Gerd Enequist (1903-1989) left behind great amounts of private and work material when she passed away. This was donated to the University Library of Uppsala, Carolina Rediviva, in three different accessions. This resulted in three different record. The subject of this report is the progress of assembling these record into one complete record. The registering led to many important decisions such as the role of provenance and the relation of private and public documents. Above all the special nature of personal archives have been a topic of discussion. Personal archives separate themselves from public records and therefore demand a different strategy of listing. The width of kinds of material and the mixture of private and public records are important qualities that differ them from public records. The report is initiated with an introduction of Enequist, followed by a description of the three accessions. In the second part of the report the work with recording the archive is accounted for including a description of the headings of the record. Thereafter the problems encountered during the work are described and discussed. The report is completed with a short proposal of the research values of the archive.

Abstract:
This study focuses on the Nordic model of Extended Collective Licenses (ECL) and how this model can be used in the process of digitalising and publishing archival material such as photos, letters, maps or films. The question that this study aims to deal with is what advantages, and disadvantages, there are for archives and copyright holders when an ECL is being used. To help answering this question the ‘theory of the knowledge commons’ has been applied. The research question has been answered through a text analysis based on legal texts including Swedish law. To get a wider perspective, international literature such as official and law-binding documents from the Nordic countries and the European Union have also been consulted. Policies and contributions to the debate about making cultural heritage available online have also been included to give light to the complexity of the question. In 2013 the Swedish copyright law was changed to facilitate for certain archives and libraries to sign an agreement with a so called Collective Administration Organization (CAO). There are no examples of ECLs being used by Swedish archives for classical archival materials even if the possibility to draw up this type of agreements has existed since 2005. One of the reasons might be the complexity of the law and that the archival institutions have problems of interpreting it. The institutions often avoid providing access to their materials online or choose material they know is in the public domain already. Finding copyright holders before publishing material online is time-consuming. One of the major advantages of functional ECLs is that they save time and resources – both for the archival institutions and the copyright holders. The ECLs provide an opportunity for the archival institutions to share their collections with the public and the copyrights holders get an organized way to communicate their terms and conditions. Archives can tell us many things about the past. The purpose of this guide is to facilitate the work of those who want to know more about the documents associated with death sentences. The guide gives a brief introduction to the history of the death penalty in Swedish legal history, to the legal process and to the judicial authorities. It also adresses the relationship between the various bodies and the relationship between law and jurisprudence. The guide presents primarily the archives of Nedre justitierevisionen and of Svea hovrätt. The guide presents what kind of information can be found and provides guidance as to how these documents are sought. Through a case study, we learn that records can give answers to many questions regarding a person sentenced to death.

Document representation is a fundamental concept in information retrieval (IR), and has been relied upon in textual IR systems since the advent of library catalogs. The reliance upon text-based representations of stored information has been perpetuated in conventional systems for the retrieval of moving images as well. Although newer systems have added image-based representations of moving image documents as aids to retrieval, there has been little research examining how humans interpret these different types of representations. Such basic research has the potential to inform IR system designers about how best to aid users of their systems in retrieving moving images. One key requirement for the effective use of document representations in either textual or image form is thedegree to which these representations are congruent with the original documents. A measure of congruence is the degree to which human responses to representations are similar to responses produced by the document being represented. The aim of this study was to develop a model for the representation of moving images based upon human judgements of representativeness. The study measured the degree of congruence between moving image documents and their representations, both text and image based, in a non-retrieval environment with and without task constraints. Multidimensional scaling (MDS) was used to examine the dimensional dispersions of human judgements for the full moving images and their representations.

What traces of their actions are the Building Corporations in Sweden leaving in their archives and are they followingsome archival policies? This thesis is trying to answer that question. For that reason 25 archives fromSwedish Building Corporations have been investigated concerning their size, contents and age. Furthermore apoll performed by the Swedish National Archives in cooperation with the Swedish Employers’ Confederationhas been analyzed. As a complement to these investigations some people responsible for the archives at SwedishBuilding corporations have been interviewed about their companies’ archival policies.The result of this study is, sadly enough, that the Swedish Building Corporations are neglecting their archives.Most of the archives that were studied are very small, less than half a running metre. A few builders of thegeneration born in the late nineteenth century have left more or less extensive archives, but they were very poorlyorganized. But generally the will to build up archives for the need of the future researchers and for the culturalheritage seems to be very poor in the Building Corporations, even poorer than in the Swedish companies in general.Almost no archival strategies could be discerned, other than that most companies preserve their record onlyfor that time the law and their own immediate needs prescribe. That is a shame, concerning the Building Corporations’importance for the cultural heritage in that that the buildings they are making are forming our culturalenvironment.This is a two years master’s thesis in Archival Science.

In this thesis, the improvement to relevance in computerized search results is studied. Information search tools return ranked lists of documents ordered by the relevance of the documents to the user supplied search. Using a small number of words and phrases to represent complex ideas and concepts causes user search queries to be information sparse. This sparsity challenges search tools to locate relevant documents for users. A review of the challenges to information searches helps to identify the problems and offer suggestions in improving current information search tools. Using the suggestions put forth by the Strategic Workshop on Information Retrieval in Lorne (SWIRL), a composite scoring approach (Composite Scorer) is developed. The Composite Scorer considers various aspects of information needs to improve the ranked results of search by returning records relevant to the user’s information need. The Florida Fusion Center (FFC), a local law enforcement agency has a need for a more effective information search tool. Daily, the agency processes large amounts of police reports typically written as text documents. Current information search methods require inordinate amounts of time and skill to identify relevant police reports from their large collection of police reports. An experiment conducted by FFC investigators contrasted the composite scoring approach against a common search scoring approach (TF/IDF). In the experiment, police investigators used a custom-built software interface to conduct several use case scenarios for searching for related documents to various criminal investigations. Those expert users then evaluated the results of the top ten ranked documents returned from both search scorers to measure the relevance to the user of the returned documents. The evaluations were collected and measurements used to evaluate the performance of the two scorers. A search with many irrelevant documents has a cost to the users in both time and potentially in unsolved crimes. A cost function contrasted the difference in cost between the two scoring methods for the use cases. Mean Average Precision (MAP) is a common method used to evaluate the performance of ranked list search results. MAP was computed for both scoring methods to provide a numeric value representing the accuracy of each scorer at returning relevant documents in the top-ten documents of a ranked list of search results. The purpose of this study is to determine if a composite scoring approach to ranked lists, that considers multiple aspects of a user’s search, can improve the quality of search, returning greater numbers of relevant documents during an information search. This research contributes to the understanding of composite scoring methods to improve search results. Understanding the value of composite scoring methods allows researchers to evaluate, explore and possibly extend the approach, incorporating other information aspects such as word and document meaning.

The present dissertation aims to verify the place of science in the classification of the documentation stored in the Public Archive of the Empire of Brazil. The period from 1838 to 1889 was established from the time of its founding until the time of the Republic. From the relevant legislation (laws, decrees, regulations, etc.) and the reports of the Ministry of the Empire, a historical survey was carried out of the Archivo, highlighting the main events of the period. Thus, to understand the classification of documentation, we analyzed the regulations of 1838, 1860 and 1876, pointing out the incidence of terms related to science; we tried to identify documents related to science deposited in the Archive and its classification; and compared with other classifications that somehow were in dialogue with the one held at the institution. In this way, we believe can understand the place of science in the classification of documents stored in the Archive during the Empire of Brazil
A presente dissertação tem como objetivo verificar o lugar da ciência na classificação da documentação armazenada no Archivo Publico do Império do Brasil. O recorte temporal estabelecido abrange desde sua fundação até o advento da República; portanto, o período entre 1838 e 1889. A partir da legislação concernente (leis, decretos, regulamentos, etc.) e dos relatórios do Ministério do Império foi realizado o levantamento histórico do Archivo, destacando os principais acontecimentos do período. Assim, para compreensão de como era feita a classificação da documentação, analisamos os regulamentos de 1838, 1860 e 1876 apontando a incidência de termos relacionados à ciência; procuramos identificar documentos relativos à ciência depositados no Archivo e sua classificação; e realizamos uma comparação com outras classificações que, de certa forma, dialogavam com a realizada na instituição. Dessa maneira, acreditamos poder entender o lugar da ciência na classificação dos documentos armazenados no Archivo durante o Império do Brasil

This thesis presents a study on the process of creation and performance of the Pro-Document - National Program of Documentation of Historical Preservation developed by the extinct National Pro-Memory Foundation - IPHAN FNPM and that, between 1984 and 1988, had as central objective the preservation of private collections as important documents for the recovery of memory and national identity. Focused on the study on the recognition and preservation of private documentary heritage in the country, it analyzes the Pro-Document's proposals in the context of the discussions about new memory demands, renewal of Brazilian historiography and documentary preservation in the 1980s. the documents of the Central Archive of IPHAN - Rio de Janeiro Section, as well as various publications such as the Revista Acervo, the National Archive, the Annals of Congresses of AAB and ANPUH and the AAB Archive and Administration Magazine. The main objective of the thesis was to understand the Pro-Document more comprehensively through an examination of the proposed historical dimensions, conceptions and policies on the preservation of documentary heritage in our country. It was also interesting to inquire about reasons and paths that led to the forgetting of this IPHAN program in the specialized literature on the subject in the following years
Esta tese apresenta um estudo sobre o processo de criação e atuação do Pró-Documento - Programa Nacional de Documentação da Preservação Histórica desenvolvido pela extinta Fundação Nacional Pró-Memória – FNPM e que, entre os anos de 1984 e 1988, teve como objetivo central a preservação de acervos privados como conjuntos documentais importantes para a recuperação da memória e da identidade nacional. Focado no estudo sobre reconhecimento e preservação do patrimônio documental privado no país, analisamos as propostas do Pró-Documento no contexto das discussões sobre novas demandas memoriais, renovação da historiografia brasileira e propostas relativas ao papel das instituições arquivísticas e a preservação documental na década de 1980. A pesquisa teve como fontes centrais os documentos do Arquivo Central do IPHAN – Seção Rio de Janeiro, além de publicações diversas como a Revista Acervo, do Arquivo Nacional, a Revista Arquivo & Administração da AAB, os Anais de Congressos da AAB e da ANPUH. O objetivo central da tese foi compreender de forma mais ampla o Pró-Documento por meio de um exame das dimensões históricas propostas, das concepções e políticas sobre a questão da preservação do patrimônio documental em nosso país. Interessou também indagar sobre razões e caminhos que levaram ao esquecimento desse programa do IPHAN na literatura especializada sobre a questão nos anos seguintes

Les fonds d'archives forment de grandes quantités de documents difficiles à interpréter automatiquement : les approches classiques imposent un lourd effort de conception, sans parvenir à empêcher la production d'erreurs qu'il faut corriger après les traitements.Face à ces limites, notre travail vise à améliorer la processus d'interprétation, en conservant un fonctionnement page par page, et en lui apportant des informations contextuelles extraites du fonds documentaire ou fournies par des opérateurs humains.Nous proposons une extension ciblée de la description d'une page qui permet la mise en place systématique d'échanges entre le processus d'interprétation et son environnement. Un mécanisme global itératif gère l'apport progressif d'informations contextuelles à ce processus, ce qui améliore l'interprétation.L'utilisation de ces nouveaux outils pour le traitement de documents du XVIIIe siècle a montré qu'il était facile d'intégrer nos propositions à un système existant, que sa conception restait simple, et que l'effort de correction pouvait être diminué.

Abstract:
The study aims to clarify whether or not the method of cataloguing used by the Handschriftensammlung of the Wiener Stadt- und Landesbibliothek and the Österreichisches Literaturarchiv of the Österreichische Nationalbibliothek fulfil the needs of the user and if the information being provided by the data base is enough. Last but not least the question of using standards is very important, because otherwise the library cannot become a member of cooperation, g.ex. MALVINE or LEAF. The research methods have taken a combined approach that has included both quantitative and qualitative research methods. On the one hand interviews were conducted to find out, what the users want and on the other hand the information provided by the data base was analysed. The results of the interviews show that the users are mostly satisfied with the information. There were some things mentioned which could certainly be improved. The conclusion was drawn that there are a number of benefits for the libraries if they take part in cooperation. Recommendations for further actions have been made by proposing a catalogue of measures on how the databases should be changed. Furthermore the fact that cooperations are considered as important by users should receive attention.

Abstract:
Arrangement is an important archival activity that precedes other important archival activities including description and access. Its objective is to identify the external and internal structures of a fonds. However, despite its importance, archivists have had difficulty establishing a standard method of arrangement that fully achieves its objective. This study views arrangement as a form of methodology bridging archival theory and practice. Arrangement must therefore be in accordance with archival theory yet be applicable in practical terms. The study first establishes the terms of analysis in regards to archival theory, and, in particular, the concept of the fonds. Difficulties in the practice of arrangement are then examined. These difficulties include (1) identifying the levels of arrangement, (2) identifying when an entity has sufficient autonomy to create a fonds, (3) identifying the provenance of record series that have been in the custody of many agencies, and (4) dealing with the effects that changes to the external structure of a fonds have on record series. The main methods of arrangement, that have been utilized throughout the archival world in the last 50 years, including the record group, fonds method and series system, are then assessed to determine how closely each aligns with archival theory and how well they perform in practical terms. A method of arrangement is then devised using the basic attributes of both the fonds and series system methods. The Department of the Provincial Secretary, of British Columbia, is the subject of a case study to confirm the validity of the methodology. The study first examines the external structure of the Department through the concepts of function, competence and organizational structure. It then studies the external structure through the concepts of functional series and documentary series. The study concludes by examining some of the implications of the method for various aspects of archival practice.

Inligting is op die volgende wyses ingesamel: ‘n uitgebreide literatuurondersoek, onderhoude met argivarlsse in beide staats- en privaatargiefbewaarpiekke en ‘n empiriese ondersoek deur middel van ‘n vraelys wat aan hoofsaaklik ernstige historiese navorsers versprei is. Die navorser het argivale vindmiddels soos inventarisse, gidse en indekse, sowel as die gerekenariseerde argivale databases, persoonlik ondersoek ten einde eerstehandse kennis van die voordele en nadele van hierdie navorsings- hulpmiddets te verkry. Daar is gevind dat tegnologiese ontwikkelings die aard van argiefbewaarplekke en argivale bronne verander het. The purpose of this study was to investigate archival information organisation and retrieval at the end of the 20th century, especially with regard to serious historical research. Information was collected by the following means: an extensive literature survey, interviews with archivists in both state and private archives and an empirical survey by means of a questionnaire distributed amongst mainly serious historical resea rchers.The researcher personally examined archival finding aids such as inventories, guides and indexes, as well as the computerised archival database, for firsthand knowledge of the advantages and disadvantages of these research aids. It was found that technological developments had changed the nature of archives and archival sources, the most important adjustment being to electronic information sources and oral history archives. The impact of computer networks on the archival milieu, as well as the advantages and disadvantages of dealing with electronic archival records and oral history archives, was subsequently discussed in detail. Although the organisation and description of archival source material are still based on the principles of provenance and original order, certain adaptations are necessary. Without these processes no access to archival sources is possible. Effective archival information retrieval can only be achieved if sufficient funds are made available and well-trained, experienced staff are appointed. Subsequently the changing nature of historical research, especially with regard to the choice of research topics, was discussed. Modern tendencies such as history from below, or the history of everyday life, and the history of women, were investigated, in opposition to traditional historical emphasis on important political figures and happenings. Research further showed that accessibility to archival information sources is of paramount importance to the historical researcher. The important role of the archivist and archival finding aids, is emphasised. During the empirical phase the answers of respondents about their visits to archives were analysed. The experiences of historical researchers with regard to archival finding aids, computerised archival networks, and reading room staff, are discussed. The study is concluded with important findings and a number of recommendations pertaining to historical research as an archival activity in a changing information world.

Abstract:
This thesis analyses the nature and common law history of copyright, highlights the problematic aspects of the current Canadian legislation with respect to archival material, proposes revisions to the law which would take into account the special nature of this material, and provides some suggestions to archivists who have to deal with the copyright dilemmas encountered in the daily, routine administration of an archival institution. Copyright legislation has traditionally grouped archival and library material under one section on special exemptions, notwithstanding the fact that archival material has characteristics which dictate a treatment fundamentally different from that of library material. Therefore, this thesis focuses on copyright as it relates specifically to archival material in order to present recommendations for its adequate treatment under the copyright law. This is not a legal paper, and does not presume to give an exhaustive legal study of all of the ramifications of copyright legislation. It is intended as a review of those copyright issues which are of special interest to archivists. Because Canada derives its common law tradition from Great Britain and is often influenced by American legislation, the earlier British legislation and more recent copyright legislation in the United States and Great Britain are studied and compared to the present Canadian legislation. Because legal trends generally first appear in court decisions before they become codified in statute, decisions found in recent case law, as well as their discussion in current legal literature are examined. The official recommendations which have been made to the Canadian government for the revision of copyright law are also analyzed. It is concluded that the Canadian statute must be revised to reflect the unique nature of archival material. Archival documents are not created for sale, distribution, display, or publication. They are the instruments of transactions, natural by-products of practical activities, means to purposes; they lack the autonomy of final products, and are non-commercial by nature. This thesis recommends that a separate piece of copyright legislation for archival material be introduced to deal effectively with these unique characteristics.

Papermaking as an activity area at the Technikon Witwatersrand (TWR) was initially introduced to equip fine art students with the basic knowledge and skills required to produce their own handmade papers, primarily for printmaking techniques. This need was identified through the fact that quality art papers were only available on campus at an expense that aspiring students could not afford. As the Papermaking Research and Development Unit (PRDU) at TWR expanded, students were able to specialise in paper-based research that targets certain issues that impact on and in our immediate environment. One issue that took priority was to investigate the properties, use and production of archival handmade papers to service local artists and students. South Africa does not have an extensive indigenous history or tradition in hand papermaking. It is a relatively new medium with little literature available on the subject. Research has become necessary to understand the properties of this medium in order to explore its various possibilities. This investigation would be viable to the local marketand manufacturers of paper, as well as to those who utilise paper in their creative activities. The bulk of archival papers available on the South African market are currently manufactured overseas and are imported to our country. With importing costs and current exchange rates, this increases their price in the South African market. The research specifically aims at producing a local handmade equivalent to the imported product that will meet, or lower, the cost and increase the availability of the product to the local market. Handmade papers have many advantages to the artists that exceed mould-made papers, all of which are investigated in this research. The specific market had to be identified in order to streamline the research possibilities and improve product potential. This market was identified as papers for selected traditional printmaking techniques, such as silkscreening; intaglio and relief processes. The research thesis, once published, will provide a resource on the subject, with specific application to a local situation. It will enable papermakers to further understand the composition of their product, as well as expand on its use and application.

The purpose of this study is to investigate the practices of Canadian repositories in making their archival holdings available on the Internet to see whether they are more or less restrictive than copyright law requires. The Internet provides an opportunity to make archival material more widely accessible; however, repositories’ copyright practices in making their holdings available online may affect the extent to which wider access to archival material is actually achieved. The study employed four different sources of evidence, i.e., the website content of 154 Canadian repositories whose websites feature archival material from the repository’s holdings; copyright policy and procedure documents of those repositories; 106 responses to a questionnaire sent to the staff of those repositories; and 22 interviews with repository staff members. In terms of selection for online access, the study found that the repositories studied prefer to select items that are perceived to incur little risk of copyright infringement (because the copyright has expired or because the repository owns the copyright), or items that require few or no resources to investigate copyright status or obtain copyright authorizations. Thus, with regard to selection, repositories were more restrictive than the law required, largely due to lack of resources. Although repositories have no legal or professional obligation to enforce others’ copyright interests, they nonetheless attempt to control further uses of their online holdings through the use of technical measures (e.g., low resolution images, watermarks, etc.) or non-technical measures (e.g., conditions placed on further uses), for reasons not necessarily related to copyright. Overall, the study found that repositories’ practices in making their holding available online were more restrictive than copyright law envisages. While this may be due to factors other than copyright, access to online documentary heritage may be limited as a result.

Abstract:
“Communist Miscellany” is a history of file-keeping and bureaucratic paperwork in Maoist China, examined through the institution of individual dossiers on Chinese subjects known as dang’an. Drawing upon an original sourcebase of deaccessioned archival dossiers, the project explores how the party-state bureaucracy fashioned an archive of Maoist society through scrupulous routines of investigative, clerical, and material labor. In Maoist China, one of the primary responsibilities of local bureaucratic units was to compile detailed individualized dossiers on party members, cadres, workers and students under their jurisdiction. The dossier constituted a master record of a subject's social identity, probing issues of class status, personal background, family relationships, political activities and attitudes. Broadly instituted in the 1950s on the basis of the Soviet model, the stated purpose of the dossier system was to inform staffing decisions for personnel management in the planned economy. However, in the Mao era, the dossier was widely deployed as a surveillance instrument, producing a living archive of “political and historical problems” among the people. For ordinary citizens, materials gathered through the dossier were the basis of crucial class labels and the grounds for political advancement. The paper-bound practices of the dossier informed the generic presentation of identity and evidence while supplying material for everyday political acts. This study of the dossier system engages current debates on bureaucratic culture, social surveillance, and archive in the PRC. A project of immense ambition, the dossier system straddled the imperatives of permanent revolution and socialist state-building to transcribe a record of Chinese society in the Maoist image. The continuous expansion of the dossier system over the Mao era gave rise to elaborate routines of file-keeping and paperwork as well as unexpected consequences of the bureaucratic will to knowledge. The bureaucratic tendency toward overaccumulation and excess in the production of dossier materials exposes the political and epistemic insecurities that drove social surveillance. The practical demands of the dossier system strained the ability of local bureaucrats to keep pace with requests for intelligence, shaping an approach to file-keeping that conceived its own distinctive forms of knowledge and incapacity.

The aim of the study was to evaluate an online tutorial designed to teach digitization and metadata indexing of library and archival resources. The online tutorial was designed according to constructivist teaching principles to promote collaborative learning. The tutorial was hosted on the OLS (Open learning System) of the University of KwaZulu-Natal (UKZN). The research was concerned with answering three research questions: Is the online tutorial a teaching instrument capable of teaching metadata indexing and digitization skills? Is the online tutorial an effective teaching tool? Does the use of constructivist teaching elements in the tutorial design allow for a more effective communication of knowledge and skills? A total of 10 participants registered for and took part in the online tutorial. On completion of the tutorial a qualitative and quantitative evaluation of the tutorial was done. In terms of the latter a self-administered questionnaire was used as the data collection technique. The qualitative evaluation was done via an analysis of discussions on the discussion forum and e-mail correspondence between learners and the researcher during the running of the tutorial. A more quantitative analysis was then conducted of the responses to the self-administered questionnaire. The qualitative and quantitative analysis identified significant issues that affected the running of the online tutorial. The main issues included problems relating to Internet access to the online tutorial, participation of learners on the tutorial and the functioning of the online learning environment. The analysis of the results of the evaluation provided answers for the three research questions. The analysis found that the online tutorial was able to teach metadata indexing and digitization skills. This was based on completed work that was submitted by participants and responses participants gave to questions on the postcourse questionnaire. However, the amount of work submitted by all participants for the metadata indexing and digitization exercises was generally low. The online tutorial was able to conduct effective teaching at certain times in the tutorial. However, there were a number of issues that disrupted the functioning of the online tutorial and this limited the effectiveness of teaching on the tutorial. The use of constructivist teaching elements in the tutorial design was unable to enable effective communication of knowledge and skills and the promotion of constructivist learning on the tutorial. This goal was hampered by various problems associated with the hosting of the online tutorial and Internet connectivity to the OLS site. Various suggestions for further research were made.

The films produced by the Green Team used the viewpoint of the general public and the attitude of the non-mass media to considerably balance the monopoly of the mainstream media on the freedom of speech between the late 1980’s and mid-1990’s. It also witnessed the process of democratization in Taiwan and left a valuable record thereof. These documentaries of more than 3,000 hours are very important, but the Green Team has neither place nor funds to maintain and preserve them. “Green Team”, the original owner of these documentaries, attached great importance to the maintenance of them, so it began cooperating with the Tainan National University of the Arts in 2006 to carry out the “Tainan National University of the Arts Archival 1986-1997 Historical Documentary Restoration and Open Access Project”, looking to properly maintain and preserve these precious audio and video materials, as well as planning the platform for subsequent open access, under the cooperation of both parties. By displaying them in the form of a database, they hoped that these precious footages can be re-utilized by others subsequently. “Archival” can be viewed from different aspects. If discussed from the aspect of basic management, we refer to archival as a concept of file management. The massive and messy data of the Green Team was originally lacking in cataloging, maintenance and interpretative information. From the active budget pursuance and project implementation by the Tainan National University of the Arts, or the official launch of the “Green Team Documentary Database”, to the processes these Green Team materials went through after being transferred to the Tainan National University of the Arts, these are all “Archival” generally referred to in this study. On the other hand, if viewed from the perspective of aesthetics and philosophy, it is more about the documentary's value after the comprehensive discussion and record at the basic management level (such as documentary management), or the significance created after the launching and open access to the documentary database, or the re-creation of films and so on. While there is a real need for further studies and interpretations in the future, the focus of this study is to discuss the concept of archival in a broad sense through basic discussion as a file managing personnel.

Abstract:
Three primary mechanisms of paper deterioration in library and archival collections are driven by climatic conditions of excessive relative humidity. These are chemical reactivity, mechanical stress and biological deterioration. It is the view of the researcher that the role of chemical reactivity has not been adequately assessed in relation to the deterioration of paper. The significance of an autoxidative phenomenon, similar to the brown tideline staining at the wet/dry interface, has not been previously recognised as a cause of deterioration as an accelerated function of time under humid conditions of the macroclimate, and as a function of the unstable equilibrium moisture content of materials in a microclimate, but has been obscured by the accepted explanation of biological deterioration. An analytical procedure was developed to enable the comparison of oxidative degradation products found in stained areas of naturally aged samples with those formed during a dynamic simulated ageing programme to induce cellulosic discolouration. A relationship between the degradative mechanism and humid climatic conditions was established. Based on the findings of the analytical investigation, this study forms a contribution towards the development of a theory of deterioration. Evidence is presented of a chemical process of degradation in the oxidation of paper at the wet/dry interface, following the condensation and evaporation kinetics induced by cycling relative humidity (RH) driven by temperature fluctuations in diurnal and seasonal ranges. Sites of moisture accumulation at which the oxidative reaction readily take place, and which constitute a wet/dry interface, are identified at surface areas exposed to atmospheric exchange, in physical defects, in uneven adhesive lamination, in local wet treatments, in impervious storage enclosures or adjacent to an impervious surface which acts as a vapour barrier to the transudational force of capillary action. In advancing the theory of a chemical response of library and archival materials in the fluctuating moisture content as an explanation for the causation of cellulosic staining, the evidence of foxing is redefined. Librarians, archivists and conservators are thus assisted in the identification of the basic chemical reactions involved in the process of deterioration, and in recognising the role of oxidative degradation relation to environmental conditions.

Abstract:
The goal of this research was to conduct a usability study on Digital Innovation’s (DISA) South African Music Archive Project (SAMAP) website. In order to achieve this goal, it was very important to first (1) understand more fully the expectations of potential users and then (2) to identify any mismatches between the proposed Dublin Core system and users’ search techniques. Many researchers have pointed out that a system that is not easy to use, does not match user requirements, and ignores usability studies is likely to fail (Pearrow, 2000; del Galdo & Nielsen, 1996; Shneiderman & Plaisant, 2005; Kuniavsky, 2003). This study was conducted at the University of KwaZulu-Natal’s Howard College Campus in Durban, South Africa. A qualitative research method was chosen for this study within an eclectic-mixed methods-pragmatic paradigm which favours multiple data collection research instruments to collect data. Data collected was mostly of a qualitative nature and has been interrogated using NVivo™. The patterns that emerged out of this study will establish a better understanding of multi-disciplinary online music archives and website designs. A discussion of the findings and recommendations are presented in the final chapter of this dissertation, but essentially the study demonstrates the need to more fully understand user requirements before development takes place.

South African institutions of preservation, such as archives, have often focused their collecting efforts on records of national significance and documenting the perspectives of the more dominant communities that represent power and government. This has resulted in the underrepresentation of certain communities in the archival heritage of the nation, such as the South African Portuguese community, whose contemporary history and experiences have not been adequately reflected in the country’s archival collections, including in those of government and other mainstream archival institutions and non-public institutions. Since South Africa has a number of Portuguese community-based organisations - and because the records they have created may be a potential resource for safeguarding the social history of this under-documented group - this study aimed to investigate the management of these records with a view of proposing a best practice model that would assist in their future management and guide their inclusion in any intended archival collection initiatives. Utilising a generic interpretive qualitative research design, the study revealed that the selected study population, namely the Portuguese community-based organisations in Gauteng, create and hold diverse types of records that may show important aspects of the community’s history that are worthy of systematic management and preservation. However, it became evident from the empirical findings that the recordkeeping practices of these organisations were performed inadequately, with records often being misplaced or discarded after their administrative use had expired. The findings also showed that, although these organisations had never thought of establishing an archival programme for themselves or depositing their records in any mainstream archives, they were willing to contribute their records to a planned archival collecting initiative of the community. Based on these findings, recommendations were made with regard to these organisational records in order to improve their management and to facilitate their potential inclusion in an archival collecting plan. The study also suggested an archival collecting framework and a model for these records. The proposed model followed an integrated approach, taking into account the community’s divergent collecting and custody preferences, such as the mainstream institutional acquisition of these records or these being preserved within community structures.

The following essay aims to highlight the essential role of digital preservation to keep the documents of today available for tomorrow by studying and analizing one of its most important branches: web archiving. This one is a discipline that has its roots in Library Science and Information Science, and it is completely alien to the world of the archives in our country. The first part of this essay offers a brief overview on web archiving and, from an archival science point of view, will try to answer questions like: What is web archiving? What is it used for? When did it begin? Which organizations are putting it into practice? How can we capture and store a website? In the second part, we will try to think about the implementation of web archiving from the perspective of the archival science, who can take a step forward in its evolution by the accomplishment of this sort of challenges.
