Abstract:
For a software developing company, it is important to have a system that keeps track of different projects with related documentation and data. Without a proper system, it can be hard to find needed information and time consuming, especially if there is much data in the system. RealTest AB is an IT consultant company located in Västerås that deals with this problem. All of their projects and their information are stored in a folder structure on a server that the employees have access to. This “system” does not have a smart way of finding data and there is no kind of version control of the existing information and this often leads to duplicated data. The purpose of this project was to provide a smarter and more efficient way of handling projects and documents for RealTest. The project resulted in an intranet solution based on Microsoft SharePoint that takes care of the mentioned problems. This paper describes the design and implementation of certain features of the intranet, such as document management, generation of unique project/document numbers and dynamic webpages. The paper also reviews strengths and weaknesses of existing intranet solutions and application platforms. The conclusions of the conducted research together with meetings with our advisor at RealTest and feedback from demonstrations for the employees led to the first version of the intranet. Since the project only lasted for 10 weeks, time limited us from developing all of the planned features and therefore we were not able to deliver a finished product. However, we managed develop a stable foundation for the intranet which will be finalized by the employees of the company.

Forcada, Matheu Núria. "Life cycle document management system for construction." Doctoral thesis, Universitat Politècnica de Catalunya, 2005. http://hdl.handle.net/10803/6160.

Full text
Abstract:

The construction industry is fragmented due to the many Small and Medium Enterprises (SMEs) and phases involved in a construction project. This fact has led to well documented problems with project management and concretely communication and information processing.

What most SMEs require in terms of project management is the ability to manage and share the company's documents. This is achieved by removing certain core applications from individual PCs and running them on a server such as an Electronic Document Management System (EDMS). Such tools should centralise the information specific to the organisation in an easily accessible environment, allowing users to store, access and modify information quickly and easily.

On the other hand, large companies, often early adopters of IT, demand that SMEs that work with them adopt the same management systems. Currently, the most popular option used by larger companies for the project management is web based tools such as Web based Project Management Systems (WPMS) that are applications designed to store and manage project information. Quite simply project collaboration applications allow disparate groups of people such as engineers, architects and clients to control access and automate dissemination of information. The most WPMS used in the construction sector is to rent a completely developed WPMS from an Application Service Provider (ASP) for a usage fee. The development and operation of this option require a minimum of technical, financial and human resources.

The start point of the thesis is survey carried out in several SMEs in the construction sector in Spain in order to acquire a general idea of their working methodologies and the deficiencies on document management.

From the SMEs standpoint, the main challenge of WPMS still lies within the lack of a standardized document organization and the inefficiency of the information flow from different sources (Documents stored in their EDMS and those stored in the WPMS).

The suggested remedy for this inefficiency and the aim of this thesis is to create a tool to improve both internal and external document organization. This Life cycle Document Management System for Construction automatically creates a folder structure for each specific project to be download into each company's server and into the WPMS which is being used for the project management. This folder structure will be the same to the folder structure of the WPMS with the consequent improvement of document storage, interaction and exchange of information between all the actors working in the same construction project.

To do this, the flow of information between the different parties involved in a construction project is mapped out and a Concept Model for Information Flow is designed to store all the documentation of a construction project and its metadata throughout the life cycle of the project. Different approaches are analyzed to obtain the most accurate solution.

Moreover, when these actors are working with WPMS sharing documents all the stakeholders should have the same working standards. This thesis also provides a Guidelines for Document Management through WPMS to unify the different working processes of all the companies involved in the project. These guidelines are applicable to projects of varying complexity, size and duration. Document codification, organization of folders and documents, publication dates, documentation control, and so on, are some of the aspects that these guidelines are oriented to.

Finally, the system is submitted for criticism and evaluation by several academics with the aim to verify its contents and consistency. A survey is also carried out in 30 SMEs out of a variety of project types, sizes, values, and Project Management utilized to validate the system.

The system will serve as a demonstration for all the participants in a construction project that a good document management is basic for the fulfilment of the project objectives.

Abstract:

Individuals are generating, storing and accessing more information than ever before. The information comes from a variety of sources such as the World Wide Web, email and books. Storage media is becoming larger and cheaper. This makes accumulation of information easy. When information is kept in large volumes, retrieving it becomes a problem unless there is a system in place for managing this. This study examined the techniques that users have devised to make retrieval of their documents easy and timely. A survey of user document management techniques was done through interviews. The uncovered techniques were then used to build an expert system that provides assistance with document management decision-making. The system provides recommendations on file naming and organization, document backup and archiving as well as suitable storage media. The system poses a series of questions to the user and offers recommendations on the basis of the responses given. The system was evaluated by two categories of users: those who had been interviewed during data collection and those who had not been interviewed. Both categories of users found the recommendations made by the system to be reasonable and indicated that the system was easy to use. Some users thought the system could be of great benefit to people new to computers.

Abstract:
With ever more enterprises holding most of their text documents electronically, this research considers the implications that follow and the opportunities that are created by this situation. It introduces the notion of intelligent document management through enrichment as a novel interpretation of the Push Technology paradigm and develops a conceptual model for a software assistant that can carry out this enrichment task. Such an Intelligent Document Enriching Assistant, IDEA, will perform simple reasoning to retrieve, automatically, previously stored text documents which are relevant to the task at hand. However, before such an assistant can actually be implemented, the underlying concepts, which are taken from a range of topics on which such an IDEA is founded, have to be researched and assembled. This is what is of concern here, namely the analysis of the background on which the IDEA is based, together with the development of its conceptual model. The implementation of this knowledge-based component does not form part of this work. The semantic content of the text document needs to be captured using a representation that is richer than simple key words, and is based on Speech Act Theory. For the development of the conceptual model for the IDEA, the CommonKADS method is used. The main deliverable of this method is the model of expertise, which describes the knowledge, and the reasoning capabilities needed to carry out the required enrichment task. The generic enrichment problem solving method is also developed. The underlying domain knowledge is taken from a Sales and Marketing scenario. This research answers the call for good practice in Knowledge Management that requires the development of new knowledge, making accessible new and existing knowledge, and distributing and combining knowledge. The IDEA is an example of how intelligence, through the provision of relevant information, can be realised within this context.

Abstract:
We describe a data structure and algorithms based on segment trees. They are used to manage different versions of a document and to reconstruct the version which was valid at a given time in the past or to get the most recent version. Difficulties arise because it is not known when a version will be replaced by a newer one. Thus unbounded time intervals are to be handled. The data structure also supports the retrieval of the history of a document.

Abstract:

Producing documents using computer supported methods hasbecome common practice in the construction industry, but themanagement of documents is still to a large degree done withmanual methods. Some pioneering users in design, constructionand facility management respectively have applied electronicdocument management (EDM) within their organisations or forprojects. However, the introduction has hitherto beennoticeably slow.

This thesis discusses the benefits of the new documentmanagement techniques to the construction and facilitymanagement process, with focus on building design, as well asthe obstacles when implementing these techniques. Theconstruction sector process has some particular properties, differing from other industry sectors, in that a projectorganisation is formed anew for each project and involves anumber of specialists with varying requirements for theircompanyinternal production and management of documents. Themain themes for EDM in building design are therefore how tomanage the change of information and the exchange or sharing ofinformation between the different organisations.

The thesis contains a state-of-the-art description ofdocument management in building design, including reviews ofcommercial applications, standards and current best practice.Basic techniques on a scale from file-hierarchy-based toproduct-model-based systems are classified and analysed from abuilding design perspective.

Five cases of document management in practice have beenstudied. The companies studied are active within differentdesign disciplines and have chosen to introduce and use EDM indifferent ways, with respect to technology as well as theinformation content that is managed. It is concluded that thedifferent requirements can not be met by uniform methods fordocument management, but that the exchange of documents andtheir meta-data has to be supported by information standardswhich need to cover a number of levels from hardware toconstruction-specific classification. As a starting-point forfurther development a conceptual schema for document meta-datasuited for building design is discussed.

The overall result of the research provides requirements forspecifying applications, standards and implementationprocedures for electronic document management suited to theactivities of building design and the interfaces to longterminformation management concerning buildings.

Abstract:

Abstract:
Presented thesis is focused to the document management system in the firm E-solutions, Ld. Selection of this firm is purposeful, because I have been working in the firm for several years. My thesis is targeted to the complex analysis of document management system (DMS) in the firm and the results of the analysis will be used for the implementation of new DMS. The target is accomplished by following steps, which can be expressed as partial concrete goals: First, the present situation of DMS in the firm is described, next, the detail description of the documents, the system should work with, is presented. Description of these documents is structured to the DMS needs. Subsequently firm processes which should DMS support are identified and analysed. These processes are converted to the optimal conditions to maximize their effectiveness in the DMS support. Integral part of the analysis is the consistent collection of the requirements to the new system. The thesis is divided into theoretical and practical part. The theoretical part describes DMS generally, explains basic principles of DMS (characteristics, documentation and functionality) and creates base line for the practical part. The more comprehensive practical part of the thesis is directed to the document management in the firm E-solutions, Ld. Presentation of the basic information about the firm is followed by detail solution of partial goals. Assessment of the achieved results creates the final part of the work. The thesis will serve in the firm or at a contactor of DMS as the base for the selection, parameterisation and implementation of the concrete DMS solution.

Herrero, Juan Jose. "Columbus : a solution using metadata for integrating document management, project hosting and document control in the construction industry." Thesis, University of Greenwich, 2003. http://gala.gre.ac.uk/8671/.

Full text
Abstract:
This thesis presents a solution for integrating document handling technologies within the construction industry using metadata in a novel way and providing a working solution in the form of an application called Columbus. The research analyses in detail the problem of project collaboration. It concentrates on the usage of document management, project hosting and document control systems as important enabling technologies. The creation, exchange and recording of information are addressed as key factors for having a unified document handling solution. Metadata is exploited as a technology providing for effective open information exchange within and between project participants. The technical issues relating to the use of metadata are addressed at length. The Columbus application is presented as a working solution to this problem. Columbus is currently used by over 20000 organisations in 165 countries and has become a standard for information exchange. The main benefit of Columbus has been in getting other project participants to send metadata with their electronic documents and in dealing with project archival. This has worked very well on numerous projects, saving countless man-hours of data input time, document cataloguing and searching. The application is presented in detail from both commercial and technical perspectives and is shown as an open solution, which can be extended by third parties. The commercial success of Columbus is discussed by means of a number of reviews and case studies that cover its usage within the industry. In 2000, it was granted an Institution of Civil Engineers' Special Award in recognition of its contribution to the Latham and Egan initiatives for facilitating information exchange within the construction industry.

Wilson, Welma. "Document management system in owner companies during project execution / W. Wilson." Thesis, North-West University, 2010. http://hdl.handle.net/10394/4146.

Full text
Abstract:
Owner companies should consider all elements of Document Management during a project’s life cycle, identify shortcomings and address them successfully to ensure successful completion of projects and ultimately to also ensure legal compliance as stipulated by contractual agreements. Proper governance during the execution of projects involves, amongst others, the establishment of structures and processes, with appropriate checks and balances built into these structures and processes, to enable all stakeholders to be in a position to have access to relevant documentation. Executing projects makes a huge demand on the flow and management of project related documentation through the different phases of these projects. The research, as documented in this dissertation, investigates and evaluates whether Sasol Technology, as the project execution agent for the Sasol Business Units, has efficient governing Document Management processes and procedures in place to support the successful execution of capital projects. Sasol Technology uses a stage gate model, associated with project life cycles, as a systematic approach for the execution of capital projects. Document Management is a new business function that was established in 2008. Not all the functions involved in the life cycle of project execution are fully aligned with the central function managing documentation. There is thus a need for a fully integrated Document Management System, involving all the functions of Sasol which are involved during the different phases of project execution. The literature study analyses existing world best document management and records management practices and procedures and points out that meticulous and strict document and records management practices form the backbone of organisational authentic evidence compliance. The research design method that was chosen to authenticate the research question is an Exploratory Qualitative Approach, combined with a Descriptive Approach. Results are obtained from a combination of three methods. Published and available existing data of how documents are managed in Sasol was gathered and secondary findings are established. Focused and structured interviews were then conducted with experienced team members from the different functions involved in project execution and lastly, e-mail administrated questionnaires were developed and distributed to relevant project team members within Sasol Technology to assess the current system and to determine additional requirements for an enhanced Document Management System, specifically applicable to owner companies in the project execution environment. Whereas the scrutiny of the secondary sources provides a background and the progress iii made with regard to setting requirements for a standardised Document Management System for the execution of projects in the Sasol Technology and some of the other Sasol Business Units, the primary data findings indicate how the project team members perceive the existing Sasol Technology Document Management System to be. Key findings include, that documentation life cycle management is not fully developed and needs to be addressed in the Sasol Technology project execution environment. Furthermore, integration of the documentation management of the various departments, functions and structures in Sasol will enable better and improved management of project documentation. The specific output of this dissertation is the recommendation of an improved Document Management System to allow the different functions within Sasol Technology and some other Sasol Business Units to have access to an integrated system, included in it all relevant documentation requirements during the life cycle of projects. An added deliverable is a framework of requirements to be included in a document management philosophy, not only for Sasol, but also for other owner companies during project execution.

Abstract:
Document Management is a technology that allows the input, storage, management and control of an image under the supervision of a computer based system. A document may be an electronically scanned image of a hard copy document or an electronic image such as a word-processed file, sound file, video file, or graphics file. Once the document has entered the system, a full history of that document is maintained throughout its lifecycle. The author was responsible for the introduction, development and deployment of Document Management technology into Rover Group. The task given to the author was to implement Document Management technology purely as a repository and distribution management system for engineering drawings. However, by adopting an innovative approach to the application of Document Management technology, substantial benefits were realised. As the author became more conversant with Document Management technology, greater benefits became apparent. Following detailed analysis of Rover's existing `Engineering drawing release process' the author re-engineered the process to allow electronic paperless release of all engineering drawings. This re-engineering provided Rover with substantial tangible and intangible benefits including cost reduction, improved quality of data, reduced `time to market', improved access, improved cycle time and reductions in manual labour. Three projects detailed in the portfolio demonstrate how this technology was applied to existing systems and processes. In particular, the `Hams Hall' project clearly demonstrates innovation in the way in which the author used the technology to manage working practices and data structure for a multi-disciplined team located in different countries. With changes implemented by the author, Rover now hold substantially more digital data than before the implementation of Document Management technology. Following research work by the author into both the types of data held and the use to which that data was put, the legality of that data came into question. This prompted a detailed analysis of the legal requirements of digitally stored data that allowed the author to advise Rover Group of their current status and make recommendations to ensure legal admissibility. The work reported shows how a combination of technical expertise and an appreciation of business issues and drivers, is crucial to the effective and successful implementations of information systems. Other organisations have shown considerable interest in the improved Document Management technology enabled business processes, developed by the author.

With the growing popularity of official document automation, electronic document workflow system has been widely used in enterprises and government units. In the past, the processes of system design documents are often bound by the activities of the user processes. When facing with special conditions or the need to support more activities, it will cause a designer to change program contents and even need to be changes for the database. The Simple Object Access Protocol(SOAP) is currently is used mainly in the Web service. It compared with protocol HTTP-GET and HTTP-POST protocol may also have to receive the necessary SOAP headers and support more complex type of information encoding in-and-out parameters and so on. Therefore, this paper design through SOAP for data transmission, while the use of business process description language (Business Process Execution Language, BPEL) to describe the documents in the process, the interface through the use of these services to interact with the business process. In addition to achieve service delivery objectives, more clearly defined with the flow between activities. When special conditions or more activities are happened, the definition of activity processes can be expanded to support the complex activities and ever-changing process.

A proverbial saying, 「Knowledge Is Power」, which is familiar to ear from childhood. Now, it comes true again and it is still changeless even though passes through the time-test. After the 3rd industry revolution, the economy type has been changed to national economy. National games are starting, 「Knowledge」is the key that makes economy being succeeded. A great mass fervor has been raised from government organization、enterprise to individual and a great favor caused by Internet mushroomed. Community activities become frequently in network and from social civic organizations to technical professional organizations are being community gradually. The same purpose makes community, and the distribution of community becomes far less by Internet. Knowledge sharing and connection of people are the main items in those community activities. We will use WebDAV that is a kind of protocol, which is a developing extensional specification of HTTP in this paper and use its methods which is supported to establish cooperation services based on working in network. We also collocate the applications about XML techniques and the basic definition and working target of community and team to set up a sharing document management system works in network like working in true world which the system can make the community work more efficient.

Enterprises have been confronted with the hurdle of efficiently processing heaps of haphazard documents for a long time. With the growth of Internet, it is common that documents are stored and managed in a distributed fashion. Virtual enterprises whose organizations are located geographically dispersed need to share the disseminated documents or to collaborate the design of documents in an easier way. In this dissertation, we study the management of document collaboration and propose solutions for fundamental problems encountered in the development process of the building blocks of a collaborative document management system. A collaborative document management environment is the composition of users, collaborative documents and the document flows. Based on the principle of separation of concerns, we provide an integrated solution for three orthogonal building blocks, including the user context, the document context and the collaboration context. It covers the user group management, the security policy of documents, the management of document relationships and the control of document flows. Other issues of document managements, such as document storage management, integration of editor tools, and the content management for specific documents, are out of the scope of this dissertation.

Before computers were widespread, office documents were handwritten and placed in folders or binders to be filed. Each company normally would have a document management office to be responsible for these documents. However, as documents accumulated, it became difficult time-consuming to locate certain past records manually. Today, office workers can use computers to type up documents and store them as electronic files. To retrieve documents, keyword search can be applied to find them quickly. It is convenient and paperless office environments can be established.

In recent years, in order to fulfill the goals of “judiciary democratization” and “judiciary internationalization”, the judiciary branch of the government has engaged in various judiciary reforms aggressively to increase the administrative efficiency and service quality of the courts. Therefore, many court systems have started to apply for certification by ISO quality management board and standardized the administrative process in the courts. The process of implementing the ISO quality management system resulted in excessive amount of documentations, including the service processes, knowledge of operating procedures, and the employees’ most critical work experience and knowledge; however, the ISO document control regulations have increased the work load of the court staffs and also led to the difficulties of the document management. This research analyzed and explored the implementation process of ISO quality management system in the courts and concluded that it was necessary to reorganize document control process, using information technology, to computerize document control, and improve document creation, modification, cancellation, safekeeping and reading process. This research first discussed the relevant knowledge on ISO quality management system of the courts, then combined ISO management process and e-process of document control with the introduction of the concept and methods of five knowledge management processes (knowledge acquisition, knowledge saving, knowledge sharing, knowledge application and knowledge creation), then constructed ISO document management system to efficiently manage ISO control documents and knowledge, and established knowledge share mechanism and environment to facilitate the knowledge exchange with added value and creation of the internal knowledge of the courts, to form solid base for the future introduction of knowledge management in the courts.

Effective knowledge management of proliferating volume of documents within a knowledge repository is vital to knowledge sharing, reuse, and assimilation. In order to facilitate accesses to documents in a knowledge repository, use of a knowledge map to organize these documents represents a prevailing approach. Document clustering techniques typically are employed to produce knowledge maps. However, existing document clustering techniques are not tailored to individuals’ preferences and therefore are unable to facilitate the generation of knowledge maps from various preferential perspectives. In response, we propose the Preference-Anchored Document Clustering (PAC) technique that takes a user’s categorization preference (represented as a list of anchoring terms) into consideration to generate a knowledge map (or a set of document clusters) from this specific preferential perspective. Our empirical evaluation results show that our proposed technique outperforms the traditional content-based document clustering technique in the high cluster precision area. Furthermore, benchmarked with Oracle Categorizer, our proposed technique also achieves better clustering effectiveness in the high cluster precision area. Overall, our evaluation results demonstrate the feasibility and potential superiority of the proposed PAC technique.

As the amount of documents becomes large, how to manage these documents becomes a very important issue. In this thesis, a three-layer Smart Document Management system, which is composed of Presentation layer, Logic layer, and Data layer, is designed. In order to provide personal services and display data to multi-device easily, all information of documents and directories is stored in XML format in our system. In addition, by our XML design, it can be very convenient to access the structure of directories, add/delete documents, and store results of splitting/merging directories. We also propose clustering algorithms, so that when a new document is inputted, it can be automatically assigned to its most similar directory, and when a directory contains too many documents, it can automatically generate new subdirectories and reassign each document of the directory to its most similar directory. Furthermore, in order to automatically establish associative links between related directories, we propose Directory Associating algorithm. Finally, a prototype of the Smart Document Management system has been implemented to show the system and the algorithms proposed in the thesis are workable. The results show that documents and directories can be managed automatically, and that providing personalized services and displaying identical data into multi-device are very easy and convenient.

The Radio Frequency Identification (RFID) is the hottest topic in the communication domain in recent years. There are many applications to RFID such as Logistic, Production Process and Inventory Management. Therefore, it is the solution of replacing the barcode now. Document Management Systems are always focusing on the electronic document files but there are still a lot of paper documents in the enterprise environment. So, a lack of paper document management strategy makes a lot of problem such as the lost of document, the secret document being pirated or stolen. Hope this dissertation can do some research on how to use object tracking, the most important function of RFID technology, to track and manage business document. We propose the solution in this paper is RFID technology. Using tag, reader, middleware and application system can make paper document to be a recognizable object for computer system, so paper documents can be integrated in Document Management System. By integrating with Document Management System, and by auto detecting and tracking in fixed time, the paper with RFID tag can be managed and tracking by Document Management System directly. The research results of this paper are providing integrated document environment for user, using RFID technology in the office application, and successfully proposing the system structure and method for using RFID technology in the Document Management System. The benefit of this system is that we can surely manage physical paper document by computer. At the same time, it will make a link between electronic and paper document so it will be more flexible for the document user. The security problem of paper documents such as the lost of paper, being pirated and stolen can be solved.

Since the rate of publishing scientific literature grows each year, the size of published work available online is increasing rapidly, and several web-based (digital library) systems were implemented. Related researches are focused on providing several useful methods for efficiently and effectively browsing and searching relevant scientific documents, but less on the issue how to manage personal scientific documents. On the other hand, researchers download scientific documents into their specific personal hard disk where they can categorize documents with hierarchical folders according to publication years, research topics, etc. for future retrieval. However, this turns into a critical issue of personal scientific document management that deals with how to effectively index and efficiently search personal scientific documents when her or his personal archive is inevitably getting larger and larger day by day. LOCOST proposed in this paper can automatically processes the local sections of each document for term feature extraction. Therefore, users do not need to spend any time and effort to manually construct and maintain an organization system to manage their personal scientific documents. Moreover, LOCOST provides a useful interface for users to easily search important and/or relevant scientific document(s) from their archives. Particularly, the interface of LOCOST can display the content summaries of the retrieved documents that allow users to better understand the content of these documents and thus enable them to judge the level of importance and relevance of the retrieved documents to a given query. Consequently, LOCOST achieves ease of reusing personal scientific documents. LOCOST is not developed to compete with related prototype systems, but it can be used to complement with each other since LOCOST provides unique functionalities for managing personal scientific documents. In addition, when the location-based finding strategy (or navigation) fails to achieve the users’ information needs, LOCOST is suitable at this time for the logical finding strategy.
